Two Pensions, Three Countries, One Coherent System
The Challenge
A client in their early 60s had contributed to pension schemes in the UK, the Netherlands, and Thailand during a 35-year international career. Documents arrived from three different sources in three languages. They had no consistent filing approach and were unsure which documents were current and which were superseded.
The Approach
We started with the Personal Archive System. The digital folder template was adapted to create three country sections, each with the same internal structure. A unified review calendar was built around the annual statement cycles for each scheme. The setup session took about 2.5 hours given the volume of documents.
The Result
Within one session, the client had a coherent single-location system for documents spanning three decades. The 30-day follow-up confirmed the structure was working well. The client reported bringing the organised archive to a financial adviser meeting three weeks later — a meeting they said went noticeably more smoothly than previous ones.

Preparing to Retire — Understanding the Paperwork Landscape First
The Challenge
A client still in employment, around five years from retirement, wanted to understand what correspondence and statements their pension scheme would likely produce in the years ahead. They had never engaged a financial adviser and felt unprepared for retirement administration conversations.
The Approach
We recommended the Extended Orientation Workshop. Across four sessions over six weeks, we covered the common categories of retirement documentation — annual benefit statements, scheme rule updates, nomination forms, and correspondence types. The client attended with notes and asked detailed questions throughout.
The Result
The client left with the printed resource pack and a practical framework for understanding and filing documents they would receive going forward. They said the glossary in particular helped them read their most recent annual statement with more confidence. They subsequently engaged a financial adviser, using the workshop as preparation.

Helping a Parent From a Distance
The Challenge
An adult child living in Phuket needed to organise pension documents on behalf of their elderly parent in the UK. Documents had arrived in Phuket in a box and were in no particular order. The adult child was unfamiliar with UK pension document conventions and did not know what they were looking at.
The Approach
A Starter Session was arranged where the client brought the box of documents. We worked through what each document was, established which were current statements and which were archive material, and created a simple two-folder structure — one for current and one for historical. We explained what each document type is typically for.
The Result
In one 90-minute session, a box of unsorted documents became a coherent, labelled archive the client could explain to others. They reported that a subsequent phone call with their parent's financial adviser was much more productive because they could locate specific documents quickly and understood what they were.
